Manage Individual Team Workspaces

You can set individual settings for Workspaces via the Network Admin menu. To update the Workspace settings to be a set default across all new Workspaces created within a company network, please see Manage Team Workspace Default Settings.

 

You can access an individual workspace setting in two ways:

Accessing via the Company Network Menu

From the Network Administrator panel, navigate to your Company Network, and then to the Workspace within the list of Team Workspaces.

Workspace Gear Icon

Or by clicking the gear on the Workspace you wish to update. Doing so will take you directly to the settings for the Workspace under the Network Admin view.

When you do, there are four tabs with a Team Workspaces settings: Overview, Members, Branding, and Security.

 

Overview Tab

Under the Overview tab, a Company Network Admin is capable of making multiple changes to a Workspace. Please see below the different sections and what is available in each of the.

 

Properties

Here you can see basic information about the Workspace, including the name, ID, it's status, and the information regarding its creation. You can also set Notes for the Workspace.

 

Settings

To adjust storage allowance, type in a value and select a measuring unit (GB or TB). Here you can also set what features can be enabled or disabled within a Workspace including:

  • Aspera Transfers
  • Archive feature
  • Expedited Restore

There are also additional Workspace entitlements that can be enabled or disabled (such as Sidecar Ingest Screenshot 2024-01-22 at 3.43.47 PM.png, Visual Watermarking Screenshot 2024-01-22 at 3.43.47 PM.png, and Forensic Watermarking Screenshot 2024-01-22 at 3.43.47 PM.png).

 

Storage Allowance

Network Administrators can create Storage Management policies to instruct Ci to automatically:

  • Archive files (Standard or Deep)
  • Move files to the Trash bin
  • Permanently delete files

Members Tab

In the Members tab, Admins may review, add, or remove members from the Workspace. To add a new member(s), simply select the blue + Add Members button, type in the user's email address, and then select Add Members to complete. To remove a member(s), select the X icon at the right-side of the member's name.

 

Branding Tab

The Branding tab allows you to modify the branding at the Workspace level (both internal and external). For internal branding, you can modify either the Avatar or the Background (background is visible in the large card view). To modify the Avatar, select Avatar, and choose an image file from your machine. Follow the same steps to modify the Background. Optionally, you can select the Hide avatar in large card view checkbox to display the background only.

 

External Branding

External branding allows you to create your own brand and impression whenever an external members accesses a File Request or a MediaBox. Select the Network-level branding option to use the Network-default brand elements for this Workspace (defined under the Network > Branding area). Use the Workspace-level branding option to override the Network default and reinforce a more specific brand of impression. This can be useful where Workspaces are used as Project Workspaces, Client Workspaces, or Campaign Workspaces.

 

Security Tab

Privileges for modification of files and MediaBoxes within a Workspace can be found here.

 

Privileges

Privileges can be set for adding and removing members, as well as to permanently delete files. These can be set to Network Admins only, Workspace Owner or Network Admins only, or Workspace Members.

 

MediaBox Settings

MediaBox settings can be adjusted at the Workspace level can be found here. Maximum expiration length can be set, as well as the types of MediaBoxes, and whether MediaBoxes can have commenting enabled.

 

Watermark Workspace

Watermark settings can also be set here, however this will affect the Company Network Watermark.

 

As always, make sure to hit the big shiny blue Save Changes button at the end of each tab!
