Network Analytics

Network Analytics provides reporting on a file-centric usage. It is broken down by 5 groups of reporting - Monthly Usage, Workspace Activity, File Inventory Report, MediaBox Activity, and MediaBox Inventory.

Resulting reports offer both a visual review and an "Export Data" link, which generates an export of the results data in a .csv format that can be downloaded to review in Excel or another spreadsheet application that supports the import or opening of a .csv file.

 

To overview Network Analytics, a Network Admin can follow these steps:

Click on their avatar, which will invoke a dropdown menu. Then, click on the option "Account Settings".

After clicking on the Account Settings, navigate to the network you wish to receive an analytics report on, and click on "Analytics".

When accessing Analytics, Monthly Usage will automatically be opened.

The report generated will allow you to see your storage, upload, download, archived, and streaming statistics per month.

When you click on "Export Analytics Report", select a month from the drop-down and click "Email Report" in order to receive a usage report.

This tab also gives a glossary of the terms you will see within the generated report. At the bottom, there are additional notes regarding the exported report, and can be seen in Figure 3.

Workspace Activities

Workspace Analytics provides reporting on file usage, such as a number of uploads, views, downloads, WorkSessions, and MediaBoxes created. A report can be run for either all Workspaces within the Network or one specific Workspace.

A Network Administrator can generate such reports for several time periods: 

  • past 24 hours,
  • past week,
  • past month,
  • past year,
  • a Custom date period utilizing a calendar-based date selection.

You can also export these reports as .csv files. Within the report, you can see all of the information above, as well as who submitted the file, on what date, and what activity was done within the Workspace (such as viewing a file or creating a work session).

 

File Inventory Report

The File Inventory Report provides a list of all files in a selected Workspace (or all Workspaces, though we do not recommend this if all of your Workspaces have a lot of files!).

The report will include a lot of useful information such as:

  • Folder Location Pathway
  • File Name
  • File Type (such as audio, document, video, etc)
  • File Size
  • Days within Active or Archived Storage
  • Last Relevant Activity Date
  • How the file was uploaded

Upon generating the file, it will be sent to your email as a .csv file.

 

MediaBox Activities

Within the MediaBoxes tab, the Network Administrator is able to view the users' MediaBoxes activity occurring within the Network. As outlined with workspaces, it is also possible to select from pre-fixed periods of time (Past 24 hours, Past 1 week, Past 1 month, Past 1 year) or by a custom date periods. It can also select all workspaces or a specific workspace to run the report query against.

 

You can see the specifics of MediaBoxes activity by selecting the numeric values for the All, Views and Downloads columns. The "Export Data" link is also available for downloading the results in a .csv format as outlined above.

This report provides the option to view all currently open MediaBoxes, or, view a report with all open, expired, and closed MediaBoxes. Upon clicking "Run Report", a report will be sent via email in a .csv format.
